Xero’s books can now answer questions inside Google Gemini

Xero’s connected app for Gemini brings live profit, cash and invoice data into Gemini chats, with client switching for accountants. What to check first.

Xero has added Google Gemini to the list of AI assistants that can read your books. The company’s connected app for Gemini is live, Xero said on 17 October (Perth time). It lets a business owner, accountant or bookkeeper ask Gemini about cash, profit or who owes them money, with the answer drawn from live Xero data.

Xero announced the integration on 14 October and says it is the first financial management platform to launch a connected app for Gemini. Gemini joins Microsoft 365, Claude, Claude for Small Business and ChatGPT, which Xero already connects to.

What you can ask

Xero lists five areas Gemini can answer from your Xero file:

  • Financial health: profit and loss, income and expenses, the balance sheet and cash position.
  • Sales and money owed: overdue balances, invoice summaries, your highest-revenue customers and repeating invoices.
  • Bills and payables: who you owe, what’s overdue and what’s due next.
  • Charts in the chat: for example, net profit and loss graphs and aged receivables.
  • Business and contact details: organisation details, base currency, and customer and supplier contacts.

The connection runs through JAX, Xero’s agentic platform. Xero’s blog makes a point worth taking seriously: Gemini reads your data “exactly as it stands today”, so anything incomplete, uncoded or in draft will shape the answers. An unreconciled bank feed gives you a wrong cash figure in Gemini just as it does in Xero.

For accountants and bookkeepers

The bigger change for practices is that one sign-in connects a whole client portfolio. Xero says advisers can switch between client organisations without leaving Gemini, and ask questions across the portfolio, such as which clients have the oldest invoices and largest debtors. Xero’s media release says the client switching works across its AI integrations, not only Gemini.

Xero’s example is a practice preparing for a week of client meetings: ask Gemini for a short briefing per client covering cash position, what customers owe and profit against the previous month, instead of running the same reports in each file.

What it can’t do without you

Xero says any operation that changes financial data, such as issuing an invoice or sending a payment reminder, requires explicit confirmation in the connected app before it runs. In describing tasks, the blog adds that anything that communicates externally also needs your confirmation first.

On data, Xero says financial information shared between the two platforms is used only for the user’s session, and that Xero data is not used to train Google’s Gemini models. Those are Xero’s commitments; Google’s own handling of your Gemini chats is governed by your Gemini settings and account.

Coming soon: scheduled tasks

Xero says customers on “eligible plans” will be able to use the tasks toggle in the Gemini app to set up scheduled work using Xero data, such as a daily summary of pending bills and cash position, or follow-ups for overdue invoices prepared from Xero and Gmail. It hasn’t named the plans or given a date. A footnote attached to the tasks section says it is available wherever Gemini Apps are supported, except the European Economic Area, Nigeria, Switzerland and the UK. Australia isn’t on that list of exclusions.

What Xero hasn’t said

Neither the media release nor the blog lists which Xero plans or Gemini plans you need for the connected app, or clearly says which countries it is available in. The release is published on Xero’s Australian site, but it doesn’t mention Australia specifically. A search on 17 October didn’t turn up a Xero Central help article with setup steps.

Google’s help page on Connected Apps explains how they work in general. On gemini.google.com, go to Customise, then Connectors, to see which apps are available to your account and connect them. Google says the list varies by Gemini app, device and country, and that Connected Apps aren’t available on gemini.google.com or iOS when the Keep activity setting is off. Work and school Google accounts follow separate rules, so a staff member signed in with a Google Workspace account may see a different list. Once an app is connected, type @ in a prompt to choose it.

Checklist

  • Look for Xero in Gemini’s Connectors list. On gemini.google.com, open Customise, then Connectors. Google says the apps listed vary by account type, device and country.
  • Check Keep activity is on if you use the web or iPhone. Google says Connected Apps aren’t available on gemini.google.com or iOS when Keep activity is off.
  • Reconcile and code transactions before relying on answers. Xero says Gemini reads the books as they stand, so drafts and uncoded items shape what it tells you.
  • Read every confirmation prompt before approving. Xero says invoices, payment reminders and other changes run only after you confirm them.
  • Practices: decide which staff may connect client files. One sign-in connects the whole client portfolio, so agree who can use it before anyone links the practice login.
  • Check your Gemini privacy settings. Xero’s no-training commitment covers Xero data; your Gemini settings govern Google’s handling of the chat.
